Cancellations, Refunds Policy, Terms and Conditions

Whilst we accept that things may occur in our lives and days that we cannot sometimes be in control of, we feel that the 12 hour notification to cancel or re-schedule an appointment is more than fair. Whilst being fair to our customers and ensuring they are aware of our policy, terms and conditions when making the appointment this also protects us as a business. If our policy was any less than 12 hours this may leave us with an appointment gap that we couldn't fill thus meaning we lose out on income.

  • Any person who attempts to cancel or re-schedule an appointment less than 12 hours before their appointment will not be entitled to a refund. This also applies to any person who fails to attend their appointment with no prior notice. All cancellations can be made by your appointment confirmation email where there is a link on the right hand side to 'cancel appointment' or 're-schedule'.
  • Anyone who cancels 12 hours or more before the appointment time is entitled to a re-fund less 5% of the full treatment fee. You can request this refund by emailing . When emailing please give us your full name, address details and when the appointment was made. Re-funds may take up to 7 days before they appear in your account. The 5% fee is to cover the transaction fees charged to us by Square who take and process your payment on our behalf.
  • It is the customers responsibility to ensure correct details are entered when booking an appointment i.e. telephone number, email address in order to be in receipt of booking confirmations, appointment notifications and reminders, payment receipts and re-fund confirmations etc.
  • Next Generation Training on behalf of Huddersfield Sports Massage Therapy will email all new clients with treatment instructions and clinic directions prior to a treatment booked. It is recommended that customers check any junk/spam folders within their email should you not receive this in your usual inbox, or to avoid this, add to your contacts list.
  • Anyone who attends an appointment late may not receive their full appointment time. Arriving late is of no fault to Huddersfield Sports Massage Therapy. 
  • ‘Appointment Time’ is the time you spend in the clinic. Therefore the time indicated for treatments will include; pre/post changing, payment taking and any aftercare advice. All first time clients are expected to complete a consultation form as mandatory.
  • Currently all appointments made online via the booking system are to be paid by card via the payment processing company Square. Card payment and cash is welcomed in clinic after your treatment. Some first time clients maybe asked to pay prior to treatment.
  • Contraindication – means you are not able to receive massage due to an illness or medical condition or the massage may be limited to certain areas of your body i.e. due to an injury. Contraindications are there for your health and safety along with that of your therapist. Therefore should any customer with a contraindication to massage arrive for a treatment, you maybe refused treatment to protect yourself and the therapist. Some contraindications such as local ones may limit your massage experience and treatment expectations. Your therapist will discuss any contraindication issues with you should they arise. If the contraindication is a 'systemic' one (affects the whole body), you will receive a treatment refund less £10. The £10 fee is to cover lost time the therapist will have from losing a treatment fee. If the contraindication is a 'local' one, treatment can still proceed but the affected area will be avoided. If a customer wishes they do not want a treatment due to this, the treatment can be cancelled and refunded, less the £10 fee as previously mentioned.   • Huddersfield Sports Massage Therapy cannot accept any client who verbally states their GP or specialist practitioner verbally said it was 'OK' for them to have a massage. You will have to prove this in writing from the GP or specialist practitioner.
  • In some instances your therapist at Huddersfield Sports Massage Therapy may require you to be referred to another specialist for treatment.
  • All clients are expected to be hygienically clean and to have showered or bathed prior to attending an appointment. If you are not hygienically clean the therapist has the right to refuse a treatment with no refund to the customer.
  • The therapist has the right to refuse a treatment if any customer is under the influence of alcohol, drugs or is aggressive or feels uncomfortable at anytime around the client. This works both ways and should a client have any concerns with the therapist it is their responsibility to make these concerns known and the treatment can stop at anytime. No refund will be issued.
  • Huddersfield Sports Massage Therapy does not refuse any client due to their race, gender,religious choices, age, sexual orientation or disability (unless this falls under a contraindication to massage). It is the sole responsibility of the client to inform the therapist of any disability whether mental or physical so the therapist can fully understand and be aware of any limitations whether these be physical or through speech, sight or behavioral.
  • There is a strict policy on no children being allowed into the clinic if accompanying with a parent or guardian. Anyone bringing a child with them (child - under 18 years of age) will be refused their treatment with no refund available.
  • If a client feels they need a minder or friend / relative to accompany them to an appointment this is limited to just one person. If more than one person accompanies a client the treatment will be cancelled by the therapist with no refund available.
  • It is the choice of Huddersfield Sports Massage Therapy to not treat anyone under the age of 18. If there is doubt of a clients age, you may be asked to produce photo identification i.e passport or drivers licence. Failure to do so may result in your treatment being cancelled with no refund available.
  • There are many contra-actions to massages (things that may result due to a massage treatment). If any client has concerns or you wish to know more about the possible contra-actions to massage you can contact us on 01484 500245 or email to discuss any concerns or contact their GP (after treatment only or unless you feel you need advice on massage as a treatment).
  • Unfortunately it may happen that the therapist is unable to conduct a treatment due to illness, injury or other circumstances i.e. extreme weather conditions. If this ever occurs the client will be contacted ASAP and a booking re-arranged.
  • Huddersfield Sports Massage Therapy cannot be held accountable for any software issues from our third party providers Setmore or payment processing issues from Square. If we notice any glitches or software issues that may have affected your user experience or booking we will notify you as soon as possible.
